Primary responsibilities include, but are not limited to:
- Plan and execute a variety of virtual, in-person and hybrid events and seminars, ensuring high standards and exceptional client experiences from start to finish
- Manage client gifting and promotional products, handling time-sensitive orders and overseeing inventory, website updates and vendor communications
- Source, order and manage inventory and gifting supplies, as well as track orders (e.g., cards, gift packaging, etc.)
- Administer the Client Holiday Gifting Program, including sourcing and tracking supplies, and ensuring timely delivery
- Provide administrative support for events, including financial tracking, invoice processing, and credit card consolidations
- Coordinate Toronto sporting and entertainment tickets and maintaining the ticket calendar, allocating tickets and distributing them to lawyers
- Collaborate with Creative Services and Marketing Technology teams to draft and distribute print and electronic event communications and materials
- Support the development of invitation lists and managing the invitation process
- Maintain the National Event Tracker by ensuring accuracy of data and coordinating with other offices across the Firm
- Create and issue continuing professional development (CPD) certificates to attendees of client-specific seminars and CPD teaching certificates to all accredited seminar presenters
- Bachelor’s degree in business, marketing or equivalent, or a college diploma with a focus in marketing or events
- Minimum of one to three years of corporate event-coordination experience
- Experience with event management tools, such as Cvent, Eventbrite or similar platforms, is an asset
- Proficiency in Microsoft Office suite (Excel, PowerPoint, Word) and experience with database management and reporting; SharePoint knowledge is an asset
- Excellent verbal and written communication skills, with the ability to interact confidently and professionally with clients at all levels, including C-suite executives
- Exceptional organizational skills, keen attention to detail and the ability to manage multiple priorities and deadlines effectively
- Strong interpersonal, problem-solving and client service skills, demonstrating sound judgment and professionalism in a corporate setting
- Ability to work both independently and collaboratively, with a strategic mindset and a creative approach to delivering high-quality outcomes
- Flexibility to work evenings and adjust hours as required to support business and events needs
The anticipated annual salary for the Client Relations & Event Coordinator position is $55,000- $70,000. Salary levels will be determined commensurate with internal and market equity and experience.
