Key responsibilities include, but are not limited to:
- Providing comprehensive administrative support to the Chief People Officer, including calendar management, meeting coordination and travel arrangements
- Delivering administrative and coordination support to the broader HR team, including scheduling, day-to-day operational and departmental needs, engagement initiatives and internal communications
- Managing communications, including drafting and editing correspondence, presentations and reports, as well as inbox triage and response prioritization
- Supporting data compilation and the development of reports and dashboards to enable informed decision-making
- Coordinating internal and external meetings, including preparation of agendas, materials and follow-ups
- Supporting the planning and execution of Human Resources initiatives, meetings, as well as both internal and external events (e.g., leadership meetings, town halls, offsites)
- Tracking key deliverables, deadlines and action items on behalf of the Chief People Officer and maintaining organized filing systems for confidential documents
- Prepare and submit expense reports and reconcile expenses and invoices while maintaining accurate records
- Handling confidential information with discretion, while serving as a professional point of contact and fostering strong relationships across the Firm
- Post-secondary education in business administration, human resources or a related field is preferred
- A minimum of two years of experience providing administrative support to senior leadership, ideally within a professional services or legal environment. Applications from new graduates will also be considered.
- Experience supporting Human Resources or People & Culture functions is considered an asset
- Demonstrated experience managing complex calendars, coordinating meetings and supporting multiple priorities in a fast-paced environment
- Experience preparing professional correspondence, presentations and reports
- Exceptional organizational and time management skills, with the ability to prioritize effectively and manage competing demands
- Strong attention to detail and commitment to accuracy
- Advanced proficiency in Microsoft Office Suite, particularly Outlook, Word, PowerPoint and Excel
- Excellent written and verbal communication skills, with a high degree of professionalism and sound judgment when handling confidential information
- Highly adaptable, proactive and resourceful, thriving both independently and as part of a team in a fast-paced environment
The anticipated annual salary for the Human Resources Administrative Assistant position is $65,000 – $75,000. Salary levels will be determined commensurate with internal and market equity and experience.
