Primary responsibilities include, but are not limited to:
Legal Support and Document Management
- Managing administrative and clerical tasks associated with the lawyer’s practice, both legal and non-legal
- Drafting, editing and formatting legal documents, contracts, correspondence and court forms with accuracy
- Identifying gaps or inconsistencies in documentation and escalating concerns appropriately
Client Relations and Communication
- Acting as a point of contact for clients, handling routine inquiries and corresponding professionally and confidentially
- Communicating with clients as needed and responding to client requests
- Establishing relationships with clients as a representative of the lawyer
Practice and Workflow Management
- Organizing and prioritizing the lawyer’s workflow, including monitoring and tracking deadlines, time entries, filing deadlines, travel arrangements and other ad hoc needs
- Assessing competing priorities and exercising sound judgement in managing deadlines under pressure
- Coordinating and supporting business development activities, such as professional association memberships, client relations activities or seminars
Collaboration and Team Support
- Working closely with assigned lawyers and all lawyers, law clerks, paralegals and staff to support case management and Firm-wide initiatives
- Providing guidance and mentorship to junior legal assistants, sharing knowledge and best practices to strengthen team effectiveness
Professionalism and Ethics
- Handling sensitive client and firm information with discretion, adhering to ethical and privacy obligations
- Demonstrating initiative in expanding legal knowledge and staying updated on procedural changes
- Applying practical problem-solving skills to navigate unexpected challenges with client requests or administrative workflows
- 8-10 years of professional experience as a legal assistant or executive assistant in a large, top-tier law firm or professional services environment
- Legal assistant or paralegal diploma/certificate from a recognized institution
- Strong knowledge of legal terminology, filing requirements and/or court procedures
- Exceptional organizational skills with attention to detail and accuracy
- Proficiency with legal software, document management systems and Microsoft Office suite
- Ability to manage multiple tasks and meet tight deadlines in a fast-paced environment
- Professionalism, discretion and strong client service orientation
