Under the direct supervision of the Manager, Marketing Technology, the Marketing Technology Specialist will:
- Maintain the integrity, consistency and usefulness of the client relationship management (CRM) system
- Create reporting and dashboard platforms that deliver actionable insights for business development
- Support and scale the Firm’s marketing technology stack, including but not limited to CRM, e-marketing platforms and integrations
- Effectively deploy e-marketing campaigns and support user adoption of technologies such as Wrike through training and best practices
- Design and refine marketing processes, apply automation and AI solutions to drive efficiency, and foster collaboration across teams using workflow and project management tools
These responsibilities come together to support data-driven decision-making, operational excellence and continuous improvement across the Firm’s marketing and business development initiatives.
Data Management and Reporting
- CRM Administration:
- Collaborate with the Business Development team to ensure the CRM is effectively used and aligned with the Firm’s Data Governance Policy
- Maintain the CRM as a strategic business resource by executing the Firm’s data management program and enforcing data quality standards, including best practices for data entry, nomenclature, taxonomy and archiving
- Ensure the consistent application of the Firm’s data governance policies across the marketing stack
- Reporting and Analytics:
- Deliver metrics and KPIs across the marketing stack by developing and maintaining dashboards, templates and customized Power BI reports
- Train the Business Development and Communications teams on self-serve reporting and support the continued improvement of data-driven insights through effective reporting practices
Marketing Technology
- E-Marketing Operations:
- Execute assigned campaign deployments on schedule, make additional sends, address technical issues with vendors and maintain operational reliability across the platform
- Serve as the Firm’s expert on the e-marketing deployment system, ensuring the effective and efficient management of campaigns and contact data
- Coordinate with Business Development and Marketing Communications on the timely distribution of e-marketing campaigns, ensuring all materials align with the Firm’s templates, brand guidelines and processes
- Ensure all marketing communications comply with CASL and GDPR requirements and contribute to best practices around data management
- Technology Integration and Innovation:
- Develop and implement technical solutions to share data between the e-marketing system and the CRM
- Participate in major technology evaluations and the full life cycle of marketing systems — from business case development and requirements analysis through implementation, training, maintenance and decommissioning
- Recommend and apply best practices to optimize the Firm’s marketing technology ecosystem
- Training and Continuous Improvement:
- Train Firm members to use marketing technologies effectively, coordinating with the training and development team to produce user materials and CASL/data governance documentation
- Stay current on trends and innovations in legal marketing technology, attend relevant conferences, and proactively upgrade skills in response to business needs
Operations, Process and Automation
- Automation and Technical Optimization:
- Apply automation routines and develop prompts to improve efficiency across systems
- Execute data cleansing projects following best practices and taxonomy standards
- Find creative solutions to technical challenges — including HTML adjustments — while continuously optimizing processes for performance and accuracy
- Process Design and Workflow Management:
- Create and maintain process documentation, intake forms, checklists and user guides to support consistent operations
- Promote the effective use of the department’s workflow and collaboration app as the primary contact for users
- Support and User Enablement:
- Provide first-level technical support across the marketing stack by diagnosing, troubleshooting and resolving issues promptly
- Act as a point of contact for internal inquiries, managing the shared inbox and ensuring timely responses
- Support onboarding and training for users across the marketing stack to promote adoption of tools, processes and automation initiatives
- Bachelor’s degree in marketing, business, computer science or a related field
- Minimum of three to seven years of work experience, preferably in professional services
- Experience with CRM, ERM, email deployment, MS Fabric and Power BI systems
- Experience applying CASL and GDPR requirements

- Experienced in querying and synthesizing data from multiple marketing systems to build reports and dashboards using tools such as Microsoft Power BI and Fabric
- Ability to analyze data, interpret trends and translate insights into actionable recommendations
- Advanced proficiency in Excel (pivot tables, formulas and charting) and SQL
- Attention to detail is business-critical to maintaining data integrity across platforms
- Experience with Python, R, and MS PowerApps is a bonus
Marketing Technology
- In-depth knowledge of CRM and e-marketing platforms, including data integration between systems
- Experience developing and managing e-marketing campaigns aligned with brand standards and compliance (CASL, GDPR)
- Understanding of business development and professional services marketing
- Demonstrated experience staying current with marketing technology trends and applying emerging tools effectively
- Strong communication, training and documentation skills to support technology adoption across teams
Operations, Processes and Automation
- Skilled in using workflow collaboration and project management platforms such as Wrike, Monday.com or Asana to manage timely deployments and processes
- Proven ability to document and improve business processes through intake forms, checklists and user guides
- Experience creating and maintaining automation routines using tools such as Power Automate, Zapier or n8n.
- Experience writing effective production prompts for LLMs and applying automation for process efficiencies
- Familiarity with high-level programming concepts and basic HTML troubleshooting
- Strong problem-solving mindset with a focus on process efficiency and innovation
- Comfortable working in a hybrid or remote environment using Microsoft Teams and other collaboration tools
