Primary responsibilities include, but are not limited to:
- Preparing and drafting real estate documents
- Conducting and reviewing title searches, off-title searches and due diligence
- Coordinating with clients, real estate brokers, financial institutions, government offices and opposing counsel
- Assisting with preparing and managing closing documentation, statements of adjustments and registration of documents
- Coordinating and attending to closing, including through electronic registration systems
- Maintaining and organizing physical and electronic files
- Monitoring critical dates, deadlines and follow-up requirements
- Providing general administrative support to the legal team
- Acting as a point of contact for clients, handling routine inquiries and correspondence with professionalism and confidentiality
- Working closely with lawyers, law clerks, paralegals and staff to support matter management and firm-wide initiatives
- Handling sensitive client and firm information with discretion, adhering to ethical and privacy obligations
- Demonstrating initiative in expanding legal knowledge and staying updated on procedural changes
- Acting as a mentor to junior legal assistants, sharing knowledge and best practices to strengthen team and firm effectiveness
- Identifying gaps or inconsistencies in documentation and escalating concerns appropriately to lawyers
- Five to eight years of professional experience as a Paralegal/Law Clerk or legal assistant in a large top-tier law firm or professional services environment preferred
- Paralegal, Law clerk or legal assistant diploma/certificate from a recognized institution
- Strong knowledge of legal terminology specific to real estate, Land Titles documents and procedures, SPIN2, Alberta Registries for Land Online and filing requirements
- Exceptional organizational skills with attention to detail and accuracy
- Proficiency with legal software, document management systems and Microsoft Office Suite
- Ability to manage competing priorities and exercise sound judgement in managing deadlines under pressure
- Demonstrated professionalism, discretion and strong client service orientation
- Practical problem-solving skills for navigating unexpected challenges with client requests or administrative workflows
